The best way to think about the difference between a personal Facebook profile and a page is that Facebook profiles are for people and Facebook pages are for organisations

Brolly is a social media archiving service designed to help  organisations comply with recordkeeping, privacy, FOI and other legislation. That’s why Brolly captures records from Facebook pages, not Facebook profiles.

To ensure the organisation you serve is compliant with the relevant legislation, it’s important to make sure that wherever possible, the work-related conversations you have on social media are via your Facebook page, not your Facebook profile.

If you are an elected official such as a councillor or minister and you use your personal profile to make comments in a group, or on a page, those records will not be captured in your organisation’s archive, unless the Facebook page or Facebook group you comment on is already connected to your organisation’s Brolly account.

Some Facebook groups have been set up to allow Facebook pages to post. However some groups only allow Facebook profiles to post. In many cases, this is just an oversight and you can ask the group’s admin to change the settings.

Example of a Facebook page for an elected official

Councillor Blake creates a Facebook page to use for her activities as an elected official of Coastal Creek Shire Council.

Using this page, Cr Blake has conversations with constituents. Members of the community reach out to her via direct messages, or respond to her posts about Council initiatives and activities.

From time to time, Cr Blake wants to participate in discussions happening in Facebook groups.

Some Facebook groups allow Facebook pages to post. For these groups, Cr Blake posts with her Facebook page.

Some Facebook groups only allow Facebook profiles to post to the group. If you encounter a group that is set up like this and you want to post to the group as your Facebook page, you can ask the group admin to change the group settings.

In summary:

  • Brolly does not capture posts and comments on your personal profile.

  • Use your Facebook page to have work-related conversations on social media

  • If you’re trying to post to a Facebook group that does not allow Facebook pages to comment, ask the group admin to change the settings.
